Space Copilot privacy policy
How Space Copilot handles information when you connect your dealership to an AI app.
Review draft. Not an effective privacy notice.
Prepared October 16, 2026. Retention, provider-training terms, and deployment details require confirmation before this page is published or submitted to a connector directory.
This notice covers Space Copilot, Space Auto's AI assistant, including connections from AI apps such as Claude, ChatGPT, and Codex. It supplements our website privacy policy.
Information we collect
When you connect an AI app, you sign in with your Space Auto work email and a one-time code sent by email. You select an eligible dealership if your account has access to more than one. The connection is associated with your account and that dealership.
We receive the questions, requests, and context your AI app sends to Space Copilot. The connector does not independently access your other chats or memory in that app. Information from those sources is received only if the app includes it in a request.
To respond, Copilot uses information available through your authorized dealership connection. Depending on the request, this includes customer names and contact details, deals and financing details, appointments, tasks, inventory, and customer conversations, including text messages, emails, and call transcripts. Copilot also processes files you provide through supported upload features.
How we use and store information
We use this information to authenticate your connection, answer your questions, carry out requested dealership work, keep conversation history, and operate and troubleshoot the service. Requests, answers, and related tool activity are saved as Copilot conversations associated with your Space Auto account and dealership.
Customer-record changes and customer or dealer messages require approval of the specific action. Some supporting operations, including reports, exports, saving market research, and creating disabled audience automations, do not require a separate approval. Disabled automations do not run until enabled and triggered in the CRM.
Space Auto uses AWS infrastructure to operate Copilot and store conversation records. Third-party AI services also process information as described below; AWS hosting does not mean all processing by those providers occurs in the United States.
Review required: confirm the deployed AWS storage region before stating that Space Auto's stored Copilot data is located in the United States.
Retention, deletion, and disconnecting
Review required: insert the confirmed conversation-retention period or criteria, deletion process and timing, and treatment of uploads, logs, backups, and provider-held copies. Connection expiration is not conversation deletion.
You or your dealership can request access, correction, or deletion by emailing support@space.auto. Include the work email and dealership associated with the request. Do not send passwords, one-time codes, or customer financial documents with your initial inquiry.
Connector authorizations expire after 30 days without renewal and no later than 90 days after authorization. Your AI app can renew the connection while you use it. You can disconnect the connector in your AI app's connection settings; contact us if you need help revoking access.
Disconnecting does not necessarily cancel work already submitted or actions already approved. It does not by itself delete Copilot history, underlying CRM records, or information already returned to your AI app. Manage or request deletion of the AI app's copy through that app as well.
